Documents

You may need to provide documentary evidence of your qualifications, employment experience, English language proficiency, change of name, or program-specific documents.

Your application will indicate if you need to provide documents. Both program-specific documents and qualification documents can be provided easily by uploading them in your application.

Verified Documents

Official documentation included with your application must be supplied as either a good quality colour photo or scanned colour copy.

We do not accept black and white copies unless the documents are verified as being a true and accurate copy.

Uploading documents

Before you start

  • Once you upload your documents, you can view them, but you can’t edit or delete them.
  • If you want to replace a document you uploaded for a program preference, just upload the new document and make sure it is clearly marked with your full name, application number, program code, and document type. You can't remove the original.
  • You can upload up to five documents for each qualification or program preference. If you want to provide more, contact UAC for advice.
  • If more than one of your program preferences require the same document, you only have to upload the document once. 
  • All program-specific documents must include your full name, application number, program code and document type.
  • Your documents can’t be uploaded by referees or other third parties.

Instructions

  • Log in to your application.
  • To upload program-specific documents, go to the program preferences section. Any required documents will be listed under 'Additional program requirements'. Select 'upload' to upload your PDF files.
  • To upload documents related to your qualifications, go to the qualifications section, and select 'Upload' for each document you are required to upload.
  • Follow the prompts to upload your documents.

Document specifications

  • All documents must be PDF files. If your document isn’t a PDF file (eg photo, Word doc), you need to convert it to a PDF. You can use UAC’s document conversion service – simply attach the document file to an email addressed to conv2pdf@uac.edu.au. For each attached file you’ll receive an email back with a converted PDF file. There are also many document conversion packages available on the web.
  • Each PDF document must be smaller than 5 MB. If your PDF document file size is bigger than 5 MB, you’ll need to reduce it to upload your document. You may be able to do this by lowering the resolution of the PDF file and any images it contains.
  • All documents must be uploaded as PDFs throughout your application. If you send hardcopies, they will be scanned and then destroyed. PDF copies will be kept for seven years and then also destroyed.

Important note for Apple users
If you're using an Apple computer with a macOS version older than 10.8, do not use its built-in PDF software to prepare PDF documents. Documents created or saved using this software and uploaded are not viewable.

Academic transcripts

If UAC cannot obtain your results directly from an institution, you'll need to provide an official academic transcript. The transcript must show:

  • the title of the program undertaken
  • all subjects taken
  • grades obtained (including failures)
  • stage reached or qualification gained
  • proof of program completion (where program is complete)
  • a copy of the grading scale where available.

A collection of examination result slips is not acceptable. Apply for your transcript/s early – some institutions may need time to supply official transcripts.

If you completed the program, the transcript you provide must state the award you gained. If the transcript does not state that you have successfully completed the program, you must provide additional information – e.g., a verified copy of your certificate or diploma.

Overseas qualifications

You must supply a copy of your official transcript of records, as well as an award certificate if the qualification is complete. UAC is not authorised to assess Diploma Supplements in lieu of the official transcript of records. Diploma Supplements may only provide passing grades and exclude low or failing grades that also need to be considered when assessing your application. If your official documents for overseas study are not in English, you must also supply copies of the following documents:

  • the original language transcript of records showing subjects and results
  • the original language award certificate (if a qualification has been completed)
  • an English translation of these documents (read below for organisations who can translate your documents)
  • a copy of the grading scale if available.

Your documents must be translated by one of the following:

  • Multicultural NSW
  • a translator accredited by the National Accreditation Authority for Translators and Interpreters (NAATI). The translator must be accredited as at least a ‘professional translator’ (previously known as 'Level 3'). Translated documents must display the official NAATI stamp provided to qualified translators; the stamp shows the level of accreditation and the direction in which they are accredited to translate.
  • the Ministry/Department of Foreign Affairs or a local court or government agency that offers a translation service in the applicant’s home country. The translated document must display the organisation’s name and official seal, and the translator’s name and contact details.
  • a sworn translator approved by the Australian diplomatic missions in the following countries;
    Belgium
    France
    Indonesia (PDF, 198KB)
    Switzerland (PDF, 1030KB)
    Thailand (PDF, 190KB).

Translations by any other sources, including overseas notaries, will not be accepted.

Studies at UK institutions of higher education

A Higher Education Achievement Report (HEAR) may be presented in support of tertiary studies undertaken in the UK.

Studies at Chinese institutions of higher education

You may be asked to submit a Credentials Report from China Academic Degrees and Graduate Education Development Center (CDGDC). A Credentials Report, which is used to verify studies, includes the following:

  • background information about the certificate/diploma holder legality of the degree or certificate issuers
  • authenticity of the documents.

Change of name

If you have studied under a previous name, you must supply documentary evidence to prove your change of name, such as a marriage certificate, deed poll registration, or other registration with the appropriate Registry of Births, Deaths & Marriages. The documentation must show your previous name/s and your current name/s. Without this documentation, your application may be delayed.
