Providing documents to UAC FAQs

You must submit correctly verified documents with your application. Failure to do so may delay the assessment of your application and may lead to no offer being made.
Submit your documents by Tues 8 June for Early Round offers and Tues 22 June for Main Round offers.

  • Do I need to submit any documents with my application?

    In most cases, UAC can obtain your results in the following qualifications without you having to supply us with verified copies of your documents:

    • study at Australian universities
    • TAFE NSW study after 1975
    • TAFE ACT (CIT) study.

    You will need to supply correctly verified documentation for the following qualifications, including proof of completion if applicable:

    • TAFE studies outside NSW and the ACT
    • enrolled nursing, secretarial or trade studies before 1994
    • Australian Qualifications Framework (AQF) courses delivered by private providers. Documentation must indicate AQF accreditation. Your qualification won’t be assessed without proof of accreditation
    • state-accredited courses delivered by private providers. Documentation must indicate accreditation of the course by the relevant authority of the Australian state or territory, such as the NSW Vocational Education and Training Accreditation Board (VETAB). Your qualification won’t be assessed without proof of accreditation
    • overseas secondary or tertiary studies
    • professional and paraprofessional qualifications. You must provide documentary evidence if you have a current Australian Nurse’s Registration.

  • Are there any studies I shouldn’t include in my application?

    The following courses aren’t assessed by UAC:

    • AQF Certificates I and II
    • Statements of Attainment
    • TAFE Statements
    • courses delivered by Australian private providers that are not accredited. Only those courses accredited under the Australian Qualifications Framework (AQF), or by the relevant state/territory accreditation authority, will be taken into account.

    Qualifications undertaken with private providers will not be assessed without proof of accreditation for the particular course.

  • I'm studying in 2010. how do I get my results to UAC?

    Results from your first semester are generally not available in time to assess for mid-year admissions.

    Results may be received at UAC by Tues 8 June 2010 to be considered in the Early Round offers and Tues 22 June for Main Round offers.

    If you are sitting an exam or test at the beginning of 2010, forward a verified copy of your transcript to UAC as soon as you receive it.

    If you can't give us your results before the dates listed above, check with the examining body to see if your results can be released early.

  • What kind of documents do I need to send to UAC?

    You may have to provide an official transcript of your academic record. The transcript must be correctly verified and show:

    • the title of the course undertaken
    • all subjects taken
    • grades obtained (including failures)
    • stage reached or qualification gained
    • proof of course completion (where course is complete)
    • a copy of the grading scale where available.

    A collection of examination result slips isn’t acceptable. Apply for your transcript/s early – there may be a delay at some institutions in obtaining official transcripts.

    If you have completed the course, the transcript you provide must state the award you gained. If the transcript doesn’t state that you have successfully completed the course, you must provide additional information, for example a verified copy of your certificate or diploma.

  • I have qualifications from overseas. What documents do I need to provide?

    If your official documents for your overseas study are not in English, you must supply verified copies of the following documents:

    • the original language transcript of studies showing subjects and results
    • the original language award certificate (if a qualification has been completed)
    • an English translation of these documents (see below for organisations who can translate your documents)
    • a copy of grading scale if available.

    The translation must be from one of the following organisations (translations made by the issuing institution may not be acceptable):

    Translators must be accredited as at least a professional ‘translator’ (previously known as Level 3). Translated documents must display the official NAATI stamp provided to qualified translators; the stamp shows the level of accreditation and the direction in which they are accredited to translate.

    A list of NAATI-accredited translators in Australia and some overseas locations is available on the NAATI website.

    • interstate office of either the Ethnic Affairs Commission or the Department of Immigration and Citizenship (DIAC)
    • Australian diplomatic missions or Australian Educational Centres
    • some major banks; you will need to check with specific banks.

    Copies translated by any other sources, including overseas notaries, will not be accepted.

  • How do I supply my documents to UAC?

    When you submit your application, Apply-By-Web will generate a document cover sheet which you must print out. This cover sheet will have a barcode and will list any documents you need to provide.

    Attach correctly verified documents to your Document cover sheet and send to UAC by the date specified. Your documents must reach UAC within seven days of submitting your application.

  • What does correctly verified mean?

    You must submit correctly verified documents with your application.
    Failure to do so may delay the assessment of your application and may lead to no offer being made.

    Correctly verified means that your original document has been sighted and the copy has been sworn to be a true copy of the original by one of the authorised people mentioned below.

  • Examples of documents not verified or not verified correctly

    UAC is not permitted to process:

    • documents verified by a Justice of the Peace without a registration number
    • documents verified by an International Justice of the Peace
    • documents that are just photocopies, that is, not verified
    • documents that have not been correctly verified.

  • Who can verify copies of my documents?

    You can take your original documents in person to UAC or the Admissions Office of an institution. Your original documents will be copied and handed back to you. UAC will keep the copies with your application. The Admissions Office will give the copies to you to submit with your application to UAC. There may be a charge for copies made at some participating institutions.

    You can also have your documents verified by someone from one of the categories listed below. The categories are for verification in Australia, New Zealand or overseas – check carefully which categories apply to you. The person who verifies your document/s must be contactable by telephone during normal working hours. You can’t verify your own documents, even if you belong to one of the categories listed below.

    a) Documents verified in AUSTRALIA

    Anyone who is currently employed as:

    • an accountant – member of the Institute of Chartered Accountants in Australia, or CPA Australia, or the National Institute of Accountants, or the Association of Taxation and Management Accountants or Registered Tax Agents
    • a bank manager, but not a manager of a bank travel centre
    • a credit union branch manager
    • a commissioner for declarations
    • a barrister, solicitor or patent attorney
    • a police officer in charge of a police station, or of the rank of sergeant and above
    • a postal manager
    • a principal of an Australian secondary college, high school or primary school.

    An authorised officer at:

    • the Universities Admissions Centre (UAC)
    • the Admissions Office or Student Services Office at any participating institution
    • the Administration Office at any TAFE college
    • Queensland Tertiary Admissions Centre (QTAC), Victorian Tertiary Admissions Centre (VTAC), South Australian Tertiary Admissions Centre (SATAC), Tertiary Institution Services Centre (TISC-WA)
    • the official records department of the institution that originally issued the document/s.

    A Justice of the Peace with a registration number.

    Copies verified by a Justice of the Peace without a registration number will NOT be accepted.

    To find a Justice of the Peace in your area, read the public register of JPs available online from the NSW Attorney-General’s Department.

    b) Documents verified in NEW ZEALAND

    Anyone who is currently employed as:

    • an accountant – member of the Institute of Chartered Accountants in New Zealand
    • a bank manager, but not the manager of a bank travel centre
    • a credit union branch manager
    • a barrister, solicitor or patent attorney
    • a police officer in charge of a police station, or the rank of sergeant or above
    • a postal manager
    • a principal of a New Zealand secondary college, high school or primary school.

    An authorised officer at:

    • the Admissions Office or Student Service Office at any New Zealand university or institute of technology
    • the official records department of the institution that originally issued the document/s
    • an Australian overseas diplomatic mission or Australian Educational Centres.

    Copies verified by a New Zealand Justice of the Peace will NOT be accepted.

    c) Documents verified OVERSEAS (except New Zealand)

    An authorised officer at:

    • the official records department of the institution that originally issued the document/s
    • an Australian overseas diplomatic mission or Australian Educational Centres.

    Copies verified by overseas notaries will NOT be accepted.

  • How should the authorised officer verify each document?

    The authorised officer must:

    • write ‘I certify this to be a true copy of the document shown and reported to me as the original’
    • sign
    • print their name, address, contact number, profession or occupation or organisation and date verified
    • include the official stamp or seal of the verifier’s organisation on the copy, if the organisation has such a stamp.

    In addition, a Justice of the Peace must also print:

    • their registration number
    • the state in which they are registered as a Justice of the Peace.

  • Can I send original documents to UAC?

    We recommend that you don’t send original documents to UAC. If you send original documents and want them returned to you, write to UAC enclosing a cheque or money order for the relevant fee. If the documents relate to the current admissions period, the fee is $35. If the documents relate to a previous admissions period (up to two years), the fee is $50.

  • Do I need to provide evidence of my employment experience?

    Some institutions will take employment experience into account when they are assessing your application.

    You must supply a Statement of service on the employer’s official stationery stating:

    • job title
    • period served including start and end date, and hours worked, such as full-time or part-time 20 hours per week
    • major tasks required in the job.

    Personal references that don’t state the items above can’t be assessed. Group certificates, offers of employment, payslips and resumes can’t be accepted.

    If you are self-employed, you must supply a copy of your business certificate of registration and a letter from your accountant or solicitor stating:

    • how long you have been continuously engaged in the business
    • nature of the business.

  • I have studied under another name. Do I need to provide any documents as evidence of my previous name?

    If you have studied under a previous name, you must supply documentary evidence to prove your change of name, such as a marriage certificate, deed poll registration or other registration with the Registry of Births, Deaths and Marriages.

    The documentation must show your previous name/s and your current name/s. Without this documentation, your application may be delayed.
