Do I need to submit any documents with my application?

If you are currently undertaking an Australian year 12 in or outside Australia, an IB diploma in Australia or a NZ NCEA Level 3, you will not be required to supply any documentation.

If you have other qualifications prior to your Year 12 you may be required to provide UAC with documents. If you need to provide UAC with documents, "Yes" will display in the "Documents to be provided" box during your International Apply-By-Web application and you will need to print your document cover sheet at the end of your application along with your Confirmation of application. Your document cover sheet has a barcode on it and correctly verified documents (read "Who can verify copies for you?" below) must be attached to this cover sheet and forwarded to UAC by the date specified. You will have seven days to supply your documents to UAC after you have completed your application.

Most institutions will not release academic records to UAC if students owe money to the institution (for example library fines). Non-release of your records may result in you not receiving an offer. UAC cannot assess qualifications using transcripts supplied by the applicant where non-release status has been advised by an institution.

Other Australian TAFE studies

If you studied at TAFE Victoria, South Australia, Northern Territory, Queensland, Tasmania or Western Australia you must supply correctly verified documentary evidence of your results, including proof of completion where appropriate.

Australian Qualifications Framework courses delivered by private providers

You must supply correctly verified documentary evidence of your results, including proof of accreditation and course completion where appropriate. Documentation must indicate Australian Qualification Framework (AQF) accreditation. Your qualification will not be assessed without proof of accreditation.

State-accredited courses delivered by private providers

You must supply correctly verified documentary evidence of your results, including proof of accreditation and course completion where appropriate. Documentation must indicate accreditation of the course by the relevant authority of the Australian state or territory, such as the NSW Vocational Education and Training Accreditation Board (VETAB). Your qualification will not be assessed without proof of accreditation.

Secondary (other than an Australian Year 12 or a NZ NCEA Level 3) or Tertiary studies undertaken overseas

You must supply correctly verified documentary evidence of your results, including proof of course completion where appropriate.

If you undertook the IB diploma outside Australia you must also supply correctly verified documentary evidence of you results.

Professional and paraprofessional qualifications

If you have ever completed or expect to complete this year, or are currently undertaking, a professional or paraprofessional qualifications you must provide correctly verified documents.

You must provide documentary evidence if you have a current Australian Nurse’s Registration.

Courses not to include

    The following courses are not assessed:
  • AQF Certificates I and II
  • Statements of Attainment
  • TAFE Statements
  • courses delivered by Australian private providers that are not accredited.

For courses delivered by Australian private providers, only those courses accredited under the Australian Qualifications Framework (AQF), or by the relevant state/territory accreditation authority, will be taken into account. Qualifications undertaken with private providers will not be assessed without proof of accreditation for the particular course.

Studies (other than an Australian Year 12 or a NZ NCEA Level 3 and IB Diploma) in 2008

You may not be able to provide all documentation with your application because you may be sitting for an examination or test at the end of 2008. If this is the case you must forward a correctly verified copy of your transcript to UAC as soon as you receive it.

Academic records – general

    You may have to provide an official transcript of your academic record. The transcript must be correctly verified and show:
  • the title of the course undertaken
  • all subjects taken
  • grades obtained (including failures)
  • stage reached or qualification gained
  • proof of course completion (where course is complete)
  • a copy of the grading scale where available.

A collection of examination result slips is not acceptable.

Apply for your transcript/s early because there may be a delay at some institutions in obtaining official transcripts.

If you have completed the course, the transcript you provide must state the award you gained. If the transcript does not state that you have successfully completed the course, you must provide additional information, for example a verified copy of your certificate or diploma.

For institutions where UAC is able to obtain records on your behalf, note that most institutions will not release academic records to UAC if students owe money to the institution (for example library fines). Non-release of your records may result in you not receiving an offer. UAC cannot assess qualifications using transcripts supplied by the applicant where non-release status has been advised by an institution.

Overseas documents – general

    If you have undertaken studies overseas in a language other than English, you must supply verified copies of the following documents:
  • the original language transcript of studies showing subjects and results
  • the original language award certificate (if a qualification has been completed)
  • an English translation of these documents
  • a copy of grading scale where available.
    The translation must be from one of the following organisations (translations made by the issuing institution may not be acceptable):
  • Community Relations Commission for Multicultural New South Wales Level 8, Stockland House, 175 Castlereagh St Sydney 2000

    NAATI qualified freelance or private agency translators must have been accredited as at least a professional 'translator' (formally known as Level 3); translated documents must display the official NAATI stamp provided to qualified translators. For listings of NAATI accredited translators available throughout Australia and some overseas locations, check the Practitioners' Directory at www.naati.com.au.
  • interstate office of either the Ethnic Affairs Commission or the Department of Immigration and Citizenship (DIAC)
  • Australian diplomatic missions or Australian Educational Centres
  • some major banks; you will need to check with specific banks.

Copies translated by any other sources, including overseas notaries, will not be accepted.

How do I supply my documents to UAC?

If "Yes" appears in the "Documents to be provided" box during your Apply-By-Web application, you will be required to print your Document cover sheet at the end of your application along with your Confirmation of application. Your Document cover sheet will be barcoded and correctly verified documents must be attached to this cover sheet and forwarded to UAC by the date specified. You will have seven days to submit your documents to UAC after you have completed your Apply-By-Web application.

Name change documentation and Statement of Services for your employment experience do not have to be verified.

Document fee

After you have completed your application, all documents that you must provide to UAC will be listed on your Document cover sheet. Correctly verified documents should be scheduled to arrive at UAC seven days after you have applied.

$40 document fee
If you fail to submit correctly verified documents or the documents supplied are not complete you may be charged a $40 document fee. This fee is payable once only.

Correctly verified documents only

Send correctly verified documents only. Read "Who can verify copies for you?" below. However, you must be prepared to provide original documents if we ask for them. UAC does not return documents.

If you send original documents and want them returned to you, you must write to UAC enclosing a cheque or money order for the relevant fee. If the documents relate to the current admissions period, the fee is $35. If the documents relate to a previous admissions period (up to two years) the fee is $50.

Who can verify copies for you?

To have your original documents verified by UAC or by any participating institution you can take them in person to UAC or the Admissions Office of an institution. Your original documents will be copied and handed back to you. UAC will retain the copies with your application. The Admissions Office will give the copies to you to submit with your application to UAC. There may be a charge for copies made at some participating institutions.

Alternatively, you can have your documents verified by someone who belongs to one of the categories listed below. The categories depend on whether you are having your documents verified in Australia, New Zealand or overseas - check carefully which categories apply to you. The person who verifies your document/s must be contactable by telephone during normal working hours. You cannot verify your own documents, even if you belong to one of the categories listed below.

a) Documents verified in AUSTRALIA

    Anyone who is currently employed as:
  • an accountant - member of the Institute of Chartered Accountants in Australia, or CPA Australia, or the National Institute of Accountants, or the Association of Taxation and Management Accountants or Registered Tax Agents
  • a bank manager, but not a manager of a bank travel centre
  • a credit union branch manager
  • a commissioner for declarations
  • a barrister, solicitor or patent attorney
  • a police officer in charge of a police station, or of the rank of sergeant and above
  • a postal manager
  • a principal of an Australian secondary college, high school or primary school.
    An authorised officer at:
  • Universities Admissions Centre (UAC)
  • the Admissions Office or Student Services Office at any participating institution
  • the Administration Office at any TAFE college
  • Queensland Tertiary Admissions Centre (QTAC), Victorian Tertiary Admissions Centre (VTAC), South Australian Tertiary Admissions Centre (SATAC), Tertiary Institution Services Centre (TISC-WA)
  • the official records department of the institution that originally issued the document/s.

    A Justice of the Peace with a registration number.

Copies verified by a Justice of the Peace without a registration number will NOT be accepted. To find a Justice of the Peace in your area, check the public register of JPs available online from the NSW Attorney-General's Department at www.lawlink.nsw.gov.au.

b) Documents verified in NEW ZEALAND

    Anyone who is currently employed as:
  • an accountant - member of the Institute of Chartered Accountants in New Zealand
  • a bank manager, but not the manager of a bank travel centre
  • a credit union branch manager
  • a barrister, solicitor or patent attorney
  • a police officer in charge of a police station, or the rank of sergeant or above
  • a postal manager
  • a principal of a New Zealand secondary college, high school or primary school.
    An authorised officer at:
  • the Admissions Office or Student Service Office at any New Zealand university or institute of technology
  • the official records department of the institution that originally issued the document/s
  • an Australian overseas diplomatic mission or Australian Educational Centres.

Copies verified by a New Zealand Justice of the Peace will NOT be accepted.

c) Documents verified OVERSEAS (except New Zealand)

    An authorised officer at:
  • the official record department of the institution that originally issued the document/s
  • an Australian overseas diplomatic mission or Australian Educational Centres.

Copies verified by overseas notaries will NOT be accepted.

How should the authorised officer verify each document?

    The authorised officer must:
  • write 'I certify this to be a true copy of the document shown and reported to me as the original'
  • sign
    and print the following details:
  • name
  • address
  • contact telephone number
  • profession or occupation or organisation
  • date verified
    and include the official stamp or seal of the verifier's organisation on the copy, if the organisation has such a stamp.
    In addition to the above, a Justice of the Peace must also print:
  • their registration number
  • the state in which they are registered as a Justice of the Peace.

Documents not correctly verified

    UAC is not permitted to process:
  • documents verified by a Justice of the Peace without a registration number
  • documents verified by an International Justice of the Peace
  • documents that are just photocopies, that is, not verified
  • documents that have not been correctly verified.

    Don't jeopardise your application
    Submit correctly verified documents with your application. Failure to do so may delay the assessment of your application and may lead to no offer being made.

If you have studied under a previous name

If you have studied under a previous name, you must supply documentary evidence satisfactory to us to prove your change of name, such as a marriage certificate, deed poll registration or other registration with the Registry of Births, Deaths and Marriages.

The documentation must show your previous name/s and your current name/s. Without this documentation, your application may be delayed and extra fees may apply.

Employment experience

Some institutions will take employment experience into account for admissions purposes.

    You must supply the correct documentation with your application in the form of a statement of service on the employer's official stationery stating:
  • job title
  • period served including start and end date, and hours worked, such as full-time or part-time 20 hours per week
  • major tasks required in the job

Personal references that do not state the above mentioned items cannot be assessed. Group certificates, offers of employment, payslips and resumes will not be accepted.

    If you are self-employed you must supply a copy of your business certificate of registration and a letter from your accountant or solicitor stating:
  • how long you have been continuously engaged in the business
  • nature of the business.
